Refund Policy
Where a signed PeaBrain Service Agreement exists, it controls. This policy states the same terms in plain language.
1. The implementation fee
The one-time implementation fee is due on signing.
- Fully refundable until work on your environment begins.
- Non-refundable once that work begins, because the hours are real and already spent. This is stated on the call and in the agreement, not buried here.
- One exception: if after 60 days PeaBrain cannot deliver a working connection at all, the full implementation fee is refunded.
2. The first-month commitment
If PeaBrain cannot answer the specific questions listed in your agreement within 30 days of connecting, your monthly fee does not begin until it can. This is a delay of billing, not a refund, and it costs you nothing while it applies.
3. The monthly fee
Billed monthly in advance, starting on your go-live date rather than your signing date.
- Cancel any time with 30 days notice.
- Your final month is prorated by the day. You are not charged for a full month you only used part of.
- Past months are not refunded.
- If PeaBrain cancels for its own convenience, any prepaid amount covering time after the end date is refunded.
4. Pausing for non-payment
More than 15 days past due, service may be paused until payment arrives. A pause deactivates access; it does not delete your environment, and service resumes within minutes of payment. Monthly fees continue to accrue while paused, so a pause is not a way to skip a month. More than 30 days past due, the agreement may be terminated.
5. How refunds are paid
To the original payment method, within 10 business days of being agreed.
6. Chargebacks
If something is wrong, email first. A chargeback filed without contacting us costs both of us time and the dispute process is slower than a reply.
